Workspaces and roles
How workspaces, projects and roles decide who can see and change what.

A workspace is a shared library for a team. Inside it you organize families into projects and collections, and you control access with roles.
Workspace roles
| Role | What it can do |

| Owner | Everything an Admin can do, plus delete the workspace |
| Admin | Manage settings, members and every project; manage the shared families; review changes in any scope |
| Write | Manage folders and collections, add and remove tags, upload at workspace level, edit a family's media, documents, links and description |
| Read | View the workspace and the content they are allowed to read |
Project roles
Inside a single project, roles apply to that project only.
| Role | What it can do |
|---|---|
| Admin | Everything Write can do, plus edit the project, manage its collaborators and review its requests |
| Write | Upload new families and submit versions through the project, and connect and sync Revit through it |
| Read | View the project and use the content they are allowed to read |
Workspace Owners and Admins are effectively Admin on every project. A workspace Write role does not replace a project Write role.
Roles in practice
Give each person the lowest role that lets them do their job:

The app describes the workspace roles like this:

| Admin | Full control: manage workspace settings, projects, and collaborators. |
| Write | Create and edit content, but cannot create projects or manage workspace settings and collaborators. |
| Read | View-only access to workspace, projects, and collections. |
Manage collaborators
Open the workspace, then Settings, Collaborators. Owners and admins can:
- add someone with Add collaborator; see Invite collaborators;
- change a person's role with the menu beside their name;
- remove a person with the bin button.
To give someone access to a single project, add them to the workspace first, then open the project, its Members tab, and choose them under Select collaborators with a project role.
Approvers
Requests to change the shared library wait for someone who may approve them:
- the workspace owner and admins, for every request;
- a project's admins, for requests into that project;
- anyone ticked as Approver on the Collaborators page.
When you tick Approver, choose All projects or Selected projects and pick the projects. Only an approver for All projects can approve requests that belong to no project. See Approve changes.
